Job Summary
The Office Assistant provides administrative, clerical, and logistical support to ensure the efficient functioning
of the office and field operations. The role contributes to smooth day-to-day workflows, supplies management,
and communication within the emergency and relief team.
Key Responsibilities
1. Administrative Support
• Assist with photocopying, scanning, filing, and printing documents as requested.
• Support preparation and formatting of letters, memos, and meeting documents.
• Ensure accurate filing and archiving (both physical and digital) of key records.
2. Office Coordination
• Maintain office cleanliness, tidiness, and readiness for meetings or visitors.
• Monitor stock levels and request replenishment of office supplies, stationery, and consumables.
• Serve refreshments and assist in setting up for internal events or meetings.
3. Logistics and Support Tasks
• Support booking and coordination of transport, accommodations, or field visits for staff.
• Assist in receiving and organizing supplies and deliveries.
• Run local errands (e.g., document delivery, supply pickup) in coordination with the logistics or admin
team.
4. Communication and Reception
• Greet and direct visitors, staff, or partners in a professional and friendly manner.
• Answer phone calls, take messages, and forward inquiries as appropriate.
• Support internal communication and coordination within the office team.

Qualifications & Experience
• Completion of secondary education; diploma in office administration or related field is a plus.
• At least 1 year of experience in a support or administrative role, preferably in an NGO or emergency
context.
• Basic proficiency in Microsoft Office (Word, Excel, Outlook).
• Good organizational and communication skills.
• Trustworthy, respectful, and able to maintain confidentiality.
• Fluency in [local language]; basic English is an asset.
